Generative AI Policy
Policy on the Use of Generative Artificial Intelligence (AI) and AI-Assisted Technologies
1. Purpose and Scope
In alignment with Scopus publication ethics standards and the guidelines of the Committee on Publication Ethics (COPE), The Sunan Ampel Review of Political and Social Sciences (SARPS) recognizes the growing integration of Artificial Intelligence (AI) technologies, particularly Generative AI (GenAI) tools such as ChatGPT, Copilot, Gemini, and similar platforms, in academic writing and research.
While such tools may support scholarly communication, their use must remain transparent, responsible, and consistent with the principles of academic integrity, human intellectual authorship, and ethical responsibility.
2. Disclosure Requirement
Authors must explicitly disclose any use of Generative AI or AI-assisted tools in the manuscript preparation process.
A statement should appear under a separate section titled:
“Declaration of Generative AI and AI-Assisted Technologies in the Writing Process”
This declaration must be placed before the References section in the initial submission and will appear in the final published version.
Failure to disclose the use of AI tools may constitute a breach of research integrity and can result in manuscript rejection or retraction according to COPE guidelines.
3. Permitted Use
Permitted uses of AI tools are strictly limited to:
-
Enhancing language clarity and style;
-
Improving readability; and
-
Assisting with grammar and formatting corrections.
AI tools must not be used to:
-
Generate or develop research arguments;
-
Construct theoretical or philosophical reasoning;
-
Interpret, analyze, or synthesize data; or
-
Create substantive academic content.
All intellectual and analytical contributions must be original human work.
4. Author Responsibility
Authors remain fully responsible for the content, accuracy, originality, and integrity of the manuscript.
Any text generated or modified using AI must be carefully reviewed, edited, and verified by the author(s) prior to submission.
AI tools cannot take accountability; therefore, the author(s) bear complete responsibility for the scholarly and ethical quality of the final work.
5. Authorship and Attribution
AI systems cannot be listed as authors or co-authors.
Authorship requires human accountability, intellectual contribution, and consent, which AI tools cannot provide.
Citing an AI tool is not required unless the AI’s output or process itself becomes a subject of analysis in the research. In such cases, the tool should be acknowledged appropriately (e.g., as software or data source) rather than as an author.
6. Sample Disclosure Statement
Section Title: Declaration of Generative AI and AI-Assisted Technologies in the Writing Process
Example:
During the preparation of this article, the author(s) used [name of AI tool/service, e.g., ChatGPT (OpenAI)] to assist with [e.g., grammar correction, sentence restructuring]. After using this tool/service, the author(s) thoroughly reviewed and edited the content and assume full responsibility for the final version of the manuscript.
Note:
This declaration is not required for the use of standard tools such as spell-checkers, grammar checkers, or reference management software (e.g., Mendeley, Zotero).
If no Generative AI or AI-assisted technologies were used, no statement is necessary.
7. Use of AI in the Editorial and Peer Review Process
To protect the confidentiality, fairness, and intellectual integrity of the review process, SARPS strictly prohibits editors, reviewers, or editorial staff from using Generative AI or AI-assisted technologies (e.g., ChatGPT, Copilot, Gemini) in any part of manuscript evaluation.
Peer review and editorial decisions must be conducted solely by human experts.
8. Compliance and Sanctions
Any detected misuse or undeclared use of AI in authorship, data analysis, or peer review may result in:
-
Immediate rejection of the manuscript;
-
Retraction of published articles; and/or
-
Notification to the author’s institution or funding body, following COPE retraction and misconduct procedures.
9. Periodic Review of Policy
This policy will be periodically reviewed and updated to reflect advancements in AI technology, emerging international standards (COPE, Elsevier, Springer, STM), and the evolving ethical landscape of academic publishing.
10. Ethical Commitment
The Sunan Ampel Review of Political and Social Sciences (SARPS) is committed to promoting ethical, transparent, and responsible scholarship rooted in both:
-
International best practices in research integrity, and
-
The moral and epistemological values of the Islamic intellectual tradition—emphasizing honesty (ṣidq), responsibility (amānah), and the pursuit of truth (ḥaqq).
